§1 General Provisions

The Regulations set forth the rules of organization and procedure of the Polish Sociological Congress.

The 19th Polish Sociological Congress, hereinafter referred to as the Congress, shall be held on September 16th-19th, 2025 in Białystok at the University of Białystok (UwB) Campus.

The Organizer of the Congress is the Polish Sociological Society, based in Warsaw, hereinafter referred to as the “Organizer” together with the Department of Sociology of UwB.

The Congress will include plenary sessions and symposia, deliberations in thematic groups, panel discussions and side events.

Plenary and symposium sessions, thematic groups, panel discussions and side events will be approved by the Congress Program Council.

The Organizer reserves the right to cancel the Congress without giving reasons.

In the event of cancellation of the Convention, the Organizer undertakes to notify the participants by e-mail at least 7 days before the scheduled date of the Convention.

The rules of procedure and other statements of the Organizer regarding the Convention shall be announced by the Chairwoman of the Organizing Committee after acceptance by the PTS President.

The languages of the Congress shall be Polish and English.

§ 2 Rules of participation and its cancellation

Participants of the Convention include speakers, non-speakers, participants in panel discussions and invited guests

The condition for participation in the Convention is:

  • application for participation in the Convention, exclusively through the online registration system (link “Registration” on the convention website);payment of the fee in the amount specified by the organizers;
  • for special guests invited by the Organizer and the Program Council, online registration is not required.

Deadlines for registration for the Convention are as follows:

  • Until March 30, 2025- for those wishing to participate in the Convention as a speaker in thematic groups,
  • by April 15, 202- for those wishing to submit a side event,
  • until August 31 – for those wishing to participate without delivering a paper.

The organizer reserves the right to extend the above deadlines.

The fee for participation in the Convention, in the amount according to the list below, should be sent in accordance with the fee schedule:

  • Banquet fee – 250 PLN

Within the fee the participant receives:

  • The right to participate in all convention events,
  • the opportunity to use the halls and infrastructure of the facilities where the convention will be held,
  • convention materials,
  • The right to participate in accompanying events.
  • Refreshments during coffee breaks
  • Hot lunch during the congress on the following days

The Organizer has the right not to allow the Participant to participate in the Convention if he/she has not paid the fee by the dates specified in par. 2 item 3:

  • if the Participant is a speaker and he/she will not be able to deliver his/her paper, he/she will not receive confirmation of participation and his/her name will not be on the list of participants published on the Convention website,
  • if the Participant is not a speaker, he/she will not receive a confirmation of participation, and his/her name will not be on the list of participants published on the Convention website.

The organizer does not provide or book accommodation.

The organizer does not cover the cost of transportation to and from Bialystok.

The Organizer shall issue an invoice for participation in the Convention no later than 14 days from the date of completion of the Convention. The condition for issuing an invoice is to provide all necessary data.

The right to present a paper is granted to the person who has been qualified on the basis of the review procedure of the submitted abstract.

The certificate of participation in the Convention will be available for self-collection from the online registration system via the Convention website after the participant’s fee has been recorded and the participant has been registered at the reception of the Convention.

The Organizer does not provide individual or group insurance for Participants.

A participant may resign from participation in the Convention. The cancellation should be made in writing and sent to the Organizing Committee via e-mail to: zjazdpts@uwb.edu.pl

The Organizing Committee will return to the Participant the amount paid, retaining a deposit of 15% of the total fee, in case of cancellation by August 31, 2025.

In the case of cancellation of participation in the Convention after August 31, 2025 (the date of sending the e-mail counts), the Convention fees will not be refunded.

§ 3 Final Provisions

Registration as a Participant of the Convention is tantamount to acceptance of these regulations.

Registering as a Participant of the Congress is tantamount to his/her consent to the processing of his/her personal data by the Organizer under the terms of generally applicable laws, with particular emphasis on the Act on Personal Data Protection of August 29, 1997 (Journal of Laws No. 133, Item 833, as amended).

Any disputes that may arise from participation in the Rally will be resolved by a court with jurisdiction over the Organizer’s headquarters.

Participation in the Reunion is tantamount to transferring to the Organizer the property rights to the recordings and photographs, as well as agreeing to their use in the event:

  • when the participant is filmed or photographed on the premises where the Rally and accompanying events are held,
  • when the participant voluntarily agrees to give an interview or pose for a photo,
  • when his/her speech will be broadcast on the Internet, radio or television.

By submitting the abstract of the speech, the participant agrees to its publication and assigns to the Organizer the copyright to publish it on the convention website, in the convention program and in materials advertising the convention.

Participants bear full financial responsibility for damage caused by them on the premises where the Convention is held.

The organizers are not responsible for Participants’ belongings that may be lost, damaged or stolen during the Convention.

Separate rules and regulations are provided for the organization of thematic groups.

In case of doubts, the position of the Main Board of the Polish Sociological Association shall prevail.

In matters not regulated by these Regulations and the Regulations of the Thematic Groups, the provisions of the Civil Code shall apply.

The Regulations shall come into force as of February 28, 2025.
